Resolution

Accessible digital documents ensure everyone -- including people with disabilities -- can read and understand the content. This quick guide lists foundational practices for digital accessibility and does not represent the full range of digital accessibility standards or practices.

Font: Use clean Sans-serif fonts such as Arial, Verdana, or Calibri for readability. Set a minimum font size of 12 point for documents and 20 point for presentations.

Titles and Language: Assign a meaningful title in the document properties and specify the primary language.

Headings: Use built-in heading styles (e.g. Heading 1, Heading 2) to structure content logically.

Lists: Use built-in formatting for numbered and bulleted lists rather than typing symbols or numbers manually.

Links: Avoid vague phrases like "click here" or the URL. Use link text that clearly describes the destination or purpose (e.g. Download the Quick Guide).

Tables: Use Tables for data presentation only - Not for Layout- and include clear row and column headers. Avoid merged cells and complex structures.

Color Contrast: Ensure text and key visuals have sufficient color contrast against the background.

Alternative Text: When using images, provide concise, descriptive alternative text.

Videos and Audio: Include captions for videos and transcripts for audio content.

PDFs: Make PDFs accessible by tagging headings, lists and tables correctly; using Optical Character Recognition (OCR) for scanned documents.

Emails and Meetings: Emails follow the same principles used for documents. Meetings; share agendas in advance, provide materials in accessible formats.

Accessibility Checking: For digital checks use built in accessibility checkers. Also manually check as automated tools cant catch everything.
