Supervisors: Reviewing Position Descriptions in PeopleAdmin

How do I update employee position descriptions? When do I need to update PD's? Why do we need to update PD's

Resolution

During the summer months, we encourage all employees and supervisors to review your goals set for this year and touch base on progress achieving those goals.  Additionally, as you are already aware, annual evaluations are directly tied to an employee’s position description (PD) in PeopleAdmin.  It's a good idea to start reviewing the PDs then instead of doing it during the rush at the end of the year just before the evaluations open up. It is crucial for PDs to be reviewed each year before the evaluation process starts. 

To review your PD in the PeopleAdmin system:

  • To access your PD in PeopleAdmin, go to Ellucian Experience> My Employment Details > Job Description
  • If updates need to be made to the PD:
    • CSA employees have the ability to start the process in the PeopleAdmin system and make changes to their own PDs. They will see a modify option when viewing the PD. Once they have made updates, they will send it to their supervisor to review and edit as necessary.
    • NFE employees can view their PD but cannot start the process to make changes in the PeopleAdmin system. The supervisor or Human Resources will need to initiate the PD to the NFE employee so they can edit.
  • Supervisors can access PeopleAdmin by going to Ellucian Experience > Employment Resources > Classification & Recruitment Tools (PeopleAdmin Manager Login).

Any updates to PDs need to be completed, reviewed by supervisor, then sent to “Institutional HR” in the system in September. We plan to open the NFE and CSA evaluation system in PeopleAdmin in the fall and evaluations are based on the calendar year, January 1 to December 31.
